About the role
We are seeking an experienced full time office coordinator/business administrator who has experience working with teams in a high growth environment.
You should be:
A wizard with a computer: Google Docs/Sheets, CRM platforms (Zoho, Zendesk, others), accounting and payroll platforms (Wave, Quickbooks), Slack, payout platforms.
A human metronome: you are always on time and able to keep a team on schedule; you have a knack for using systems to streamline workflows.
A great communicator: you are concise, efficient, a great writer, and incredibly detail oriented; you have a way of helping others filter their messaging and can unite a team through words.
A self-starter: you need little direction and are able to determine where you are needed; you love running the show and are gifted at getting things done.
Comfortable in a high growth environment: you thrive in an ever-changing landscape and are adept at finding ways to work smarter; you can handle the bumps associated with a growing company.
A quick learner: you soak things up like a sponge and are able to find solutions to problems that you uncover without much direction.
Bonus: graphic design and Adobe experience.
*Bonus: you have experience managing grant and tax programs such as IRAP, EDGE, and SRED.
Your day to day:
Organize a team agenda.
Monitor and aid in communications across the team.
Work with the executive and GM to provide vital information and analytics, reports, and handle administrative needs.
Assist with payroll and accounts payable when needed.
Organize outgoing shipments for orders.
Research required business items from grants to bottle sourcing.
Ensure software systems are operating well to support communication and results to customers.
Liaise with stakeholders and manage expectations.
Ensure the office is running smoothly: supplies, lease, landlord communication, R&M, etc.
Support the team in anything urgent that develops
